House Elections Process
When you received your notification letter from the Health Worker Program,
you were advised that the offer is a contingent offer. This means that
you also need to complete an election process with your house, which
is described below. Provided you a) submit your acceptance forms to
us by the deadline stated in your letter (this will probably fall before
the election process happens, which is fine) and b) you are successfully
elected by your house, we will be able to convert your offer to a formal
offer.
| Why is there an elections
stage if I was already selected by the HWP? |
Our goal is to mirror as closely as possible how most living
centers select their new leaders. Because co-ops, fraternities
and sororities pick the majority of their student leaders through
election, we believe it is important to work in sync with this
system. Therefore, we implement a two-stage system where the HWP
first assesses which applicants meet the objective criteria for
the position, and then each house votes to accept and/or choose
between the finalist(s). Through this process, we believe that
both the UHS and the individual houses can feel confident with
the HW who is ultimately selected.

| Who conducts the elections? |
The current president and the current HW can work with you to
conduct the election process within each respective house. If
a house is currently without a HW, the current student Coordinator
for that community would provide assistance as helpful.

| How are the elections implemented? |
The existing system used by each house for electing other officers
and managers should also be used to elect the HW, and we defer
to the president to have jurisdiction on how the election should
best be conducted. The most common methods we are aware of, and
support, are:
- Paper ballot voting
- Voice vote at a meeting
- Heads down/hands up at a meeting
- If your house uses a different system, such as electronic
voting, we are fine supporting that as well; we just want to
know how the system works so we can be aware of your process.

| What about issues like slating,
quorums, and percentages? |
The HWP expressly does not slate one candidate over another.
We believe that every candidate we forward to the elections process
is well-qualified for the HW position.
Quorums and percentages (e.g. 2/3, 51%, etc.) are at the discretion
of each individual house. The president should use whatever their
existing standards are for the HW election.

| What if there is only one
candidate? |
We ask that the house still conduct an election to ensure that
the candidate receives a "vote of confidence" from the
house. If that person receives a vote of no confidence, the HWP
is committed to supporting the house's decision.

| What if there is more than
one candidate? |
At this time, due to resource limitations, we are unable to have
co-HWs for a single house, so we ask that houses elect only a
single HW.

| What is the timeline for
the elections process? |
Because elections happen at differing times in each house, we
are flexible so that each house may work on their own terms. However,
our optimal timeline is listed below for general guidance:
- Late April: elections announced at house meeting
- Early May: candidate(s) notified of their formal status
as a HW or on the waitlist
- Early May: elections held at house meeting
- Late May: president emails results to Program Coordinator
